How to introduce your clients to Donesafe

A Step-by-Step Guide

Step One: Start with just two clients.


Before you jump in and email your whole client base, you’ll find that you have a lot more success if you roll out the product with two test clients first. This works on two fronts:

  1. It will give you an opportunity to test out your sales process and battle cards and find a process that feels comfortable to you.
  2. It will give you extra training in setting up a new client. Now of course, if you require any assistance with these clients don’t hesitate to get in contact with us; we’re more than happy to help.

Ideally you’ll be better finding two clients of medium size and complexity; not so big that your first setup will feel too difficult and not so small that it’s too easy.

Step Two: Set up the initial account.


From here we’ll talk about just one of your test clients. But repeat this process for both.

Here is an example process. You don’t have to follow this to the tee, but we’ve found it to be an effective scaling up of capabilities.

  1. Create the company account and format the dashboard and pages to your desired format.
  2. Obtain all worker details and emails and create their login details.
  3. Upload your procedures and policies into the system
  4. Set up the most used forms and templates for the client. (Feel free to get help from Donesafe with this)

Step Three: Training


Split your training into two sections to make sure you’re giving the right level of information to the right people.

  1. Deliver a 10 minute presentation (either web based or face to face) on how to use the system for the workers in the business.
  2. Deliver a 1 hour presentation to the managers and supervisors on the new Donesafe system and their role in it.

This might sound like a bit of work, but the purpose of this stage is to really solidify the benefits of using the system. If done right, using the system with everyone on board will help you simultaneously become more present and active in their business whilst reducing your actual time required to consult. It’s a win-win for everyone.

Step Four: Launch


Go live with donesafe to all workers to commence use of Donesafe in the day to day operation of your clients business.

Step Five: Full Integration


Once launched, establish the Donesafe platform for all other key tasks in the business and make sure to keep the business informed of the new functionalities once they’re set up.

You’re Done! What next?

Now that you’re up and running with your test businesses you’ll undoubtedly have a better understanding how what’s involved in the process and you’ll feel more comfortable with it.

Those two clients you just signed up? They are now your two stickiest clients. They’ll have gone from interacting with your brand once every few months to potentially interacting daily. What was once a situation in which they were engaged with you on a per-use basis, they’ll now be paying monthly recurring fees, stabilising your income and allowing you to work with more clients at any one time.

It’s now time to switch all of your clients over to the new system and turn them all into sticky clients. From here it’s up to you how you’d like to pursue it. Many partners like to send out an email to their client list at this stage letting them know about the new system and how it can change their business (which we can help with). Others will start contacting their clients one by one, replicating the initial stages with each one as outlined above.
